PCAA Policy on Board Member Responsibilities
President
- Represent the organization to the community
- Plan the organization’s long term development
- Prepare/review annual budgets
- Review all financial transactions
- Conduct background checks on volunteers
- Secure use of fields from CMS and other organizations
- Plan and implement board meetings as required
- Plan, implement and preside over annual membership meetings
- Arbitrate disputes within the organization
- Assume the duties of Treasurer when required
- Other duties and responsibilities as assigned by the BOD
Vice President - Operations
- Represent the organization to the community
- Plan the long term development of the organization’s facilities
- Prepare annual budgets for facilities and equipment
- Coordinate use and utilization of organization’s facilities
- Ensure proper maintenance of facilities and maintenance equipment
- Secure repairs to capital assets (buildings, mowers etc.) as needed
- Organize and execute spring and fall work days
- Assume duties of the President when required
- Other duties and responsibilities as assigned by the BOD
Treasurer
- Represent the organization to the community
- Plan the long term financial security of the organization
- Prepare annual budgets
- Prepare year-to-date financial summaries as needed
- Collect, record and deposit all income
- Maintain all financial records via Quickbooks accounting software
- Disperse money to vendors, contractors and members as required
- Collect delinquent payments from members as required
- Maintain the organization’s tax exempt status
- Complete the organization’s annual tax returns
- Other duties and responsibilities as assigned by the BOD
Vice President - Baseball
- Represent the organization to the community
- Act as the organization’s representative to any sanctioning organizations
- Secure umpires as other officials as needed for each season
- Plan the long term development of the organization’s baseball and T-ball programs
- Prepare annual budgets for baseball and T-ball
- Coordinate use and utilization of fields
- Ensure proper maintenance and use of fields and baseball equipment
- Asses equipment and uniform needs for each season
- Arbitrate disputes within the baseball organization
- Approve and assign head coaches
- Oversee evaluations, the draft and the formation of teams
- Oversee selection and operation of All Star and Challenge teams
- Other duties and responsibilities as assigned by the BOD
Vice President/Commissioner - Softball
- Represent the organization to the community
- Act as the organization’s representative to any sanctioning organizations
- Secure umpires as other officials as needed for each season
- Plan the long term development of the organization’s softball program
- Prepare annual budgets for softball
- Coordinate use and utilization of fields
- Ensure proper maintenance and use of fields and softball equipment
- Asses equipment and uniform needs for each season
- Arbitrate disputes within the softball organization
- Approve and assign head coaches
- Oversee evaluations, the draft and the formation of teams
- Oversee selection and operation of All Star and Challenge teams
- Other duties and responsibilities as assigned by the BOD
Division Commissioners (Majors/Minors, Coach Pitch, T-Ball)
- Represent the organization to the community
- Act as the division’s representative to the BOD
- Organize the day to day operation of the division
- Prepare equipment requirements for each season
- Ensure proper maintenance and use of fields and team equipment
- Oversee the actions and behavior of division coaches and their staff
- Arbitrate disputes within the division
- Assist with evaluations, the draft and the formation of teams
- Other duties and responsibilities as assigned by the BOD
Marketing Manager
- Represent the organization to the community
- Maintain and develop website
- Develop sponsorship packages and costs
- Maintain relationships with existing sponsors
- Develop relationships with new sponsors
- Invoice sponsors
- Assign sponsors to teams
- Secure sponsorship plaques and deliver to sponsors
- Other duties and responsibilities as assigned by the BOD
Administration & Communications Manager
- Represent the organization to the community
- Maintain, develop and distribute databases as required
- Control and distribute communications to membership
- Keep copies of organization’s documentation
- Document BOD meetings and general membership meetings
- Process insurance and insurance claims
- Communicate sign-up dates via advertisements and announcements
- Other duties and responsibilities as assigned by the BOD
Registration Manager
- Represent the organization to the community
- Organize registration efforts
- Collect maintain, develop and distribute databases as required
- Collect registration fees and deliver them to Treasurer
- Distribute registration reports to BOD during the registration period
- Order uniforms and trophies
- Other duties and responsibilities as assigned by the BOD
Fields & Facilities Manager
- Represent the organization to the community
- Organize the daily maintenance of the organization’s facilities
- Prepare annual budgets for consumables and equipment
- Instruct coaches in proper use of maintenance equipment
- Ensure proper maintenance of facilities
- Insure availability of consumables (chalk, absorbent, gas etc.)
- Other duties and responsibilities as assigned by the BOD
