Pineville Community Athletic Association

In response to demand, PCAA has adopted a standardized intake process & requirements for renting facilities to external organizations as of September 2025. In partnership with the Town of Pineville we have aligned on a consistent set of requirements and steps to review and approve any requests for field usage.

Rates:
All field rentals will be billed at an hourly rate of $50. This includes digital lock access and usage of lights.

Considerations:
Please be advised that any requests for field usage that overlap our active seasons (both Spring and Fall) will only be considered once that season's programming & field usage schedule for PCAA programs is in place. We will always give field priority to our PCAA internal teams & will only accommodate rentals that are aligned with our organizational objectives and are not in conflict with our program schedule.

Field requests should be addressed to [email protected]

Please provide the following detail for your request:
- Organization Name
- Sport / Age Group (s)
- Requested Date(s) / Recurring Cadence as well as times.
- Description of activities (i.e. practice, kickball game, etc)

Rental requests submitted will be reviewed by PCAA leadership (President, VP Ops, VP Baseball & VP Softball) to evaluate alignment with PCAA objectives as well as fit with existing PCAA program schedules.

For approved requests, the organization / party renting PCAA facilities will be required to complete each of the following for the rental agreement to become effective:

Complete a formal counter-signed contract with PCAA listing specific dates, total associated costs, payment terms and named individuals representing the organization. Field maintenance & security considerations will also need to be detailed in each agreement.
Proof of insurance / liability coverage from the outside organization which lists both PCAA and Town of Pineville on the policy as 'also insured'.
Copies of both will be submitted by PCAA and shared with Town of Pineville for record keeping.
